To provide high-quality care and remain compliant with Washington State DCYF licensing, we collect the following:
* Child Information: Name, date of birth, medical/immunization records, allergy alerts, and developmental observations.
* Parent/Guardian Information: Names, home/work addresses, phone numbers, and government-issued ID (for authorized pick-up verification).
* Financial Information: Documentation for DCYF subsidies (Working Connections), Military Fee Assistance (CCAoA), or private pay billing details.
* Emergency Contacts: Names and phone numbers of individuals authorized to act on your behalf.
2. How We Use Your Information
Your information is used strictly for the following purposes:
* Ensuring the safety and health of your child while in our care.
* Meeting state licensing requirements (DCYF) and quality standards (Early Achievers).
* Processing tuition payments and subsidy claims.
* Communicating daily updates, emergencies, or policy changes.
3. Confidentiality & Sharing
We do not sell or rent your personal information. We only share information when:
* Legally Required: Reporting to DCYF or health departments as required by Washington State law.
* Subsidies: Coordinating with Child Care Aware of America or DCYF for payment processing.
* Emergency: Providing medical records to first responders or hospitals in the event of an injury.
4. Photo & Media Policy
We respect your family’s digital privacy.
* Photos or videos of children are taken only with written parental consent (see our separate Media Release Form).
* Photos are used for developmental portfolios or private parent updates and are never posted to public social media without explicit permission.
5. Security of Records
* Physical Records: All paper files (emergency cards, immunization records) are kept in a locked cabinet accessible only to authorized staff.
* Digital Records: Any digital data is stored on password-protected devices.
* Retention: We retain records for the duration required by DCYF licensing laws (typically 3 years after a child leaves the program).
6. Your Rights
Parents have the right to review their child's file at any time. If you find inaccuracies or wish to update your contact information, please notify Wubit Adal immediately.
